EVENT REGISTRATION AND INVOICING
If your participation or non-participation is subject to a fee, you may use one of our payment methods: Invoice, Credit Card, PayPal, or Sofortüberweisung. For any purpose, such as reimbursement, you may use a copy of the invoice along with your bank statement confirming the payment. Please note that for fee-based events, we use the service provider eveeno® exclusively for payment processing and registration management.
The mandatory personal data collected during event registration is used solely for the preparation, execution, and follow-up (including documentation) of the event. To organize the event efficiently, we process the following personal data: last name, first name, business email address, position, company/organization, and country. Providing this information is essential for participation and event facilitation.
Specifically, we process your data for the following purposes:
This data processing is based on Article 6(1)(b) GDPR (contract fulfillment and event execution) and Article 6(1)(f) GDPR (legitimate interest in ensuring optimal event organization and documentation).
For some events, additional information may be required (e.g., to comply with on-site security regulations or catering preferences (e.g., dietary restrictions, vegetarian/vegan options) to ensure appropriate accommodations. This information is used exclusively for event logistics and will be deleted after the event. In such cases, this data may also be shared with relevant third parties or co-organizers. The legal basis for this processing is Article 6(1)(f) GDPR (balancing of interests, based on our legitimate interest in ensuring a smooth and secure B2B event process). If such additional information is needed, you will be informed in advance, and the data will be deleted immediately after the event.
WITHDRAWAL
Please submit a withdrawal from an event to asc(s by letter, fax (+49 711 699 659-29) or e-mail. We ask for your understanding that we cannot accept withdrawals by phone. The date for your withdrawal shall be the date of receipt of your written withdrawal at asc(s. The withdrawal from fee-based events is free of charge up to one week prior to the event. For a withdrawal shorter than one week prior to the event, we will charge 100% of the participant fee.
The provision of a substitute participant, who bears the incurred participant fees, is possible at any time and free of charge.
Please understand that we have to reserve the right to cancel the event in case of low number of participants or in case of absence of a lecturer, force majeure or similar causes. In case of cancellations or necessary changes of the program, we try to inform you as early as possible. If we have to cancel an event, we will refund your participant fees immediately. No further claims will be asserted against asc(s except for cases of willful intent or gross negligence.
INFORMATION REGARDING IMAGE, VIDEO AND SOUND RECORDINGS
We would like to point out that image, video and sound recordings of all aspects of the simpulseday of the Automotive Solution Center for Simulation e.V. will be made. These recordings may be published as part of the public relations work of the Automotive Solution Center for Simulation e.V.. By registering for this event you affirm that you have read this information regarding image and sound recordings and agree to the capture and use of such recordings as described above.
PRIVACY POLICY
According to §§21, 22 LDSG you have the right to find out what personal data has been stored and/or may correct these data at no charge. Please direct any corresponding requests to info@asc-s.de. As a matter of principle, your personal data will not be passed on to third parties. Sponsors, cooperation partners and exhibitors at the event are not considered third parties. The participant agrees that the list of participants with the data provided by him/her (name, company, e-mail) may be passed on to cooperation partners, sponsors or exhibitors of the event in order to facilitate successful event execution and mutual exchange of experts.
